About the Office Manger Position
The Office Manager position ensures the day-to-day operations of the home office and that they run as efficiently and as smoothly as possible. This position also assists several Departments Heads of LaSalle with administrative needs to allow them to focus on their primary responsibilities and maximize their time and effectiveness. The Office Manager position is also responsible for supervising all clerical staff as well as assisting some functions of the Accounting Department. Additionally, the position is responsible for tasks delegated from the Executive Assistant/Corporate Secretary. The Office Manager will report directly to the Executive Assistant/Corporate Secretary.
Requirements:
- Four Year College Degree
- 7+ years experience in corporate office environment and/or related positions ; 3+ years additional management experience
- Working hours may vary from day to day and project to project; must be flexible and willing to work overtime during the week and on weekends on an as needed basis
- Extensive knowledge of Microsoft Office and Microsoft Outlook
- Proficient experience in Accounting and Finance, including software such as Quickbooks or equivalent; Yardi accounting software experience a plus
- Texas Notary Public or ability to become member
- Ability to work on personal and business related items for designated executives
- A high degree of integrity and ethical behavior
- Ability to maintain confidentiality when dealing with sensitive information
- Ability to act autonomously on projects
- Excellent written and oral communication skills
- Exceptional organizational and interpersonal skills
- Concierge like disposition for interacting with others
- Willingness to learn business and work hard to provide best service to designated executives
- Ability to problem solve, follow through and get to the bottom of a variety of different tasks
- Ability to be a team player
- Ability to be an effective, proactive, self-sufficient supervisor and leader
- Some travel around DFW and/or errand travel
- Business presentable appearance and disposition
- Perform business related or personal assignments, projects, errands, and day to day needs of immediate supervisor and/or designated corporate executives
- Serve as central point of contact for and help facilitate good communications among department heads
- Effectively manage, coordinate and organize calendars and daily activities of designated executives using Microsoft Outlook
- Plan and schedule meetings or special company events; as well as attend meetings and take notes if needed
- Manage and coordinate all travel arrangements and any other business or personal arrangements of designated executives
- Train and supervise clerical staff
- Perform various duties for the Accounting Department as directed
- Maintain and oversee office policies, procedures, appearance, and operation
- Assist in creating, organizing, and updating policies and procedures for management and other departments
- Interact and communicate as well as be the point of contact with the building management and outside vendors such as supplies, food, etc.
- Provide information about the company or the department the executive oversees and answer questions relating to specific matters or take notes and follow up with answers
- Provide administrative assistance with overflow from immediate supervisor and/or designated corporate executives
- Perform other duties or special projects for the business as directed
- Become familiar with all aspects of the business
